Challenge

Acronis was focused on finding a hybrid platform that could support their Global Cyber Summit 2020. They were looking to drive attendee engagement and networking and create an inspiring experience. The team had to adjust their event strategy multiple times during the Pandemic and just two months before the event, regulations were tightened, and Acronis decided to host a hybrid event. At the Acronis Global Cyber Summit, they gathered together the world’s largest community of cyber protection professionals. Hosting a global event for cyber protection leaders is no small feat, and they needed a trusted partner and reliable platform to empower the team to produce a successful event.

Choosing a Hybrid-Ready, Scalable Solution

Acronis chose to host its first hybrid event on the Bizzabo platform. They conducted a deep analysis of potential platforms before deciding on Bizzabo.

In June 2020, Acronis began partnering with Bizzabo to develop the concept for Global Cyber Summit 2020. Acronis decided to focus on accurately representing the values of the brand through virtual and in-person event sessions to maximize reach and ROI.

Designing a High-Value Hybrid Event

The Acronis Global Cyber Summit 2020 was a three-day experience that drove attendee engagement and showcased their production capabilities. For any hybrid event it is crucial to show quality visual content, so it was essential to take care of all of the quality and aspects of the video production process, like professional lights, cameras, and keynote speaker backdrops. The Acronis Global Events Team hired TV producers, an MC, and a moderator to create their own in-house production center. Meanwhile, the Bizzabo Team provided technical production support though Virtual Production Services.

Over 3 days, they broadcasted the in-person sessions from a live TV studio in Seattle, USA which was fully customized. Plus, there were live sessions streaming from the Acronis headquarters in Schaffhausen, Switzerland including Serguei Beloussov, Acronis CEO keynote speech.

Creating an Immersive Brand Experience

Acronis was able to fully customize their branding in the Bizzabo platform, creating a seamless visual experience for both the organizers and their attendees. The Acronis Design Team fully designed their event website and crafted a bespoke brand identity for the summit which was used across all touchpoints, from branded face masks to virtual speaker backdrops.

Driving attendee experience and making an impact

The Acronis Global Cyber Summit 2020 featured 70 sessions from workshops and networking sessions to panel discussions. They wanted to ensure that 9,500 attendees from over 126 countries around the world could easily access and view all the sessions at any time 24/7. The Acronis Global Events team strategy focused on achieving business goals and gaining the audience’s engagement through the concept of personalization and by applying different creative formats.

The team also leveraged Bizzabo’s dynamic site builder and embedding capabilities to introduce gamification tools such as a special customized environment in the style of the computer game Minecraft for the Acronis Cyber Foundation’s mission, #CyberFit Kids zone to drive traffic, increase brand engagement and curate a unique, personalized attendee experience.

Streamlining Operations

Acronis broadcasted the offline part of the three-day event from the live TV studio in Seattle, USA, and in Schaffhausen, Switzerland. The Acronis team was able to capture and distribute a variety of video content – news, announcements of key sessions, live and pre-recorded interviews with keynote speakers and sponsors, opening and closing ceremonies, and a DJ performance for the closing ceremony – streamed and combined through the Acronis Global Cyber Summit News Live Studio, located in Seattle. From the studio, the moderator introduced the speakers, conducted interviews, and broadcasted part live from Schaffhausen, where the in-person portion of the event took place.

With the time they saved by using an end-to-end solution, the Acronis team was able to focus less on manual administrative tasks and work on creating a unique virtual and live experience. Bizzabo’s streamlined platform allowed the Acronis Team to use the time saved and give their attention to the concepts, content, and producing a broadcast-level event with pre-recorded sessions and high-quality streaming.

Leveraging Powerful Integrations & Data

In order to host a successful virtual portion of the event, the Acronis Team needed integration capabilities. On the Bizzabo platform the team integrated with the marketing tools they already used such as Marketo, Zoom, TINT, and Salesforce— which helped to deliver reports in time for data analytics and simplified the process of capturing audience data.

The Acronis Team also used the robust analytics available within the Bizzabo platform to surface actionable insights.

For example, Bizzabo’s registration page tracking allowed Acronis to see direct registrations from the event site and retarget people who visited the website but did not register immediately.

Outcome

Using the Bizzabo platform and customer and support teams, Acronis was able to plan and execute one of the first truly hybrid events and a one-of-a-kind experience.

At Acronis Global Cyber Summit 2020, the team successfully gathered more C-level cyber protection keynote speakers and sports celebrities online than would have been possible in-person using Bizzabo’s platform, and present strategically curated attendee experience.
