The Challenge

Needing an Event Management Partner To Scale Hybrid Events

In 2020, during the COVID-19 pandemic, only 30% of Acronis’s events were held in-person (including VIP) or hybrid. The team had adjusted its event strategy multiple times during the early days of the pandemic, and, just two months before its Global Cyber Summit 2020, the world’s largest gathering of cyber protection professionals, restrictions tightened, and the team decided to go hybrid.

Hosting a global event for cyber protection experts is no small feat, and Acronis needed a trusted partner and reliable platform to empower its team to produce a successful event. Additionally, the events team needed a solution to drive attendee engagement and networking and create an inspiring experience.

The Solution

An End-to-End Hybrid-Ready and Fully Scalable Solution

After months of evaluating and demoing potential platforms, the Acronis events team chose Bizzabo. 

 “We researched platforms from March to June of 2020. Within this period, the events team attended more than 50 online conferences and summits and reviewed over 20 platforms,” said Diana Kruglova, Acronis Global Events Director.

In June 2020, Acronis and Bizzabo began working together. Because Acronis had some virtual events before the Acronis Global Cyber Summit 2020, the focus was on correctly replicating brand values in the virtual space.

Streamlining Operations and Content Management

During a hybrid event, it’s crucial to plan and control content and broadcasting. Acronis generated a lot of video content for the event, including the following:

  • News
  • Announcements of upcoming key sessions
  • Live and pre-recorded interviews with keynote speakers and sponsors
  • Opening and closing ceremonies
  • DJ performance for closing ceremonies

This content was combined and streamed through the Acronis Global Cyber Summit News Live Studio in Seattle, Washington. From the Seattle studio, the moderator introduced speakers, conducted interviews, and broadcast live content from Schaffhausen, Switzerland, where the in-person portion of the event took place.

With the time Acronis saved by using an end-to-end event management solution, the team could focus less on manual administrative tasks and create a unique virtual and live experience. The platform allowed the Acronis team to focus on the concepts and content while producing a broadcast-level even with pre-recorded sessions and high-quality streaming. Plus, they could apply Acronis branding by fully customizing Bizzabo’s platform and design, which created a seamless visual experience for everyone.

Creating a Branded Experience

The Acronis Design Team fully customized its event website and prepared an entire brand identity for the Acronis Global Cyber Summit 2020 — from print materials like merchandise, awards, and presentations for the in-person event design to branded virtual face masks and speaker backdrops. 

Bizzabo’s platform allows for customized branding with a dynamic website builder and native application, which the Acronis team took to the next level to create visual alignment across all of their attendee touchpoints — from virtual to physical.

Leveraging Powerful Integrations and Data

To deliver a successful virtual experience, the Acronis team needed seamless integrations. The event team integrated the Bizzabo platform with marketing tools they already used, including Marketo, Zoom, TINT, and Salesforce, which helped Acronis deliver timely reports and simplified the process of capturing audience data. 

The Acronis team also used Bizzabo’s comprehensive analytics features. For example, Acronis used registration page data to see direct registrations from the event site to retarget people who visited the site but didn’t register.

Driving Attendee Experience and Making an Impact

The Acronis Global Cyber Summit 2020 featured 70 sessions — from workshops and networking sessions to panel discussions. Acronis wanted to ensure that its 9,500 attendees from more than 126 countries could easily access and view all the sessions at any time, 24/7. 

The team’s strategy focused on achieving business goals and gaining the audience’s engagement through personalization and applying different creative formats. The team leveraged Bizzabo’s dynamic website builder and embedding capabilities to embed a unique customized environment in Minecraft for the Acronis Cyber Foundation’s mission, a #CyberFit Kids Zone, and others.

“We wanted an emotional, inspiring, and magical experience like we have with in-person events. So we created entertaining content,” said Kruglova. 

In addition to offering four happy hour sessions — including one featuring Arsenal FC Legend Ray Parlour sharing how to protect the edge — here are some examples of what Acronis offered: 

  • Cooking classes with award-winning Miami chef and food TV personality Michelle Bernstein
  • A virtual tour of Tuscany winery Castello di Bossi
  • A presentation on how time has changed processes at the historic Swiss watchmaker H. Moser
  • A charity auction, hosted by Acronis Cyber Foundation, to give back and benefit the education of children, schools, and programs around the world

All of these tactics helped drive traffic, increase brand engagement, and curate a unique, personalized attendee experience.
